March General Meeting 

March 6, 2023

  1. Old action items (5) 
    1. Winter retreat lessons/reflections? (updated grocery list etc.)
      1. Natalie added some notes in the reflections/lessons learned doc (feel free to add more)
      2. Followup survey/photo form has been sent out
        1. Good feedback so far
    2. Any updates on slack? 
      1. Some bugs associated with migration (old messages getting lost, issues if you have non-whoi email linked to slack account)
      2. Keep on radar, weight pros/cons of switching
    3. Photo board?
      1. Cora ordered photos via shutterfly, ready to pick up soon
      2. Cora/Megan will put up photos before open house
  2. Steinbach scholars (5)
    1. Chem & AOSE have voted on nominee, need to email Ann
    2. G&G has emailed Ann, forwarded to Meg
      1. Biogeochem (interdisciplinary, waiting to get extra confirmation)
    3. Send one follow-up email to Ann with all 3 nominees - Megan, Marc, Natalie
  3. Buffins payments (<5)
    1. Invoices will be forwarded to Tricia
    2. Nadege, Jeanne, and Ciara D are coordinating buffins distribution
  4. Spring Waterlust trivia budget (<5 min)
    1. 3-month series for spring
    2. Previous budget was $400/event
    3. Keep as evening event, propose new budget of $250-280/event with less pizza
      1. Tricia has receipts from fall trivia events to get approx. budget range
      2. $429 - October; $385 - November; $294 - December
    4. Reply to Ciara W. with new proposed budget - Nadege
  5. March social hour (<5) 
    1. Pancake social hour went well, good turnout but less than pizza social hours
    2. Combine March social hour with open house ice cream social (3/14 evening)
      1. Ice cream through APO, dinner beforehand so don’t need pizza
    3. Send out email advertising combined social hour/open house social - ???
  6. Funds (10)
    1. Laptop
      1. Houghton fund is EAPS-managed
      2. Vague guidelines for who can use it and how often
      3. Tricia & Mick are working on JP-wide list of resources that could be accessed
    2. WHOI wiki (Annaliese?)

      2. Who manages it: OCB/Communications Officer is in charge of this (maybe) → Mai Maheigan
    3. Student survey on internal funding report
      1. APO external course fund, dept. funds, GSC conference fund, etc
      2. Kharis compiling full list of funding sources available to students and outline for how to use them

  7. Open House (<10)
    1. Updates from OH Committee
    2. Department reps - need help writing notes/matching buddies (?)
      1. Meeting 9am wednesday to match
      2. Kharis has already matched bio students (bio department specifically does this ahead of time, good to know moving forward)
        1. Should email bio EC to make sure we coordinate this better in the future, reps typically handle this instead of EC
        2. Kharis - send list of buddy pairings to Megan/Natalie
      3. Example note from emily burdige; using whoi/mit cardstock
    3. JP Reps slides - Megan & Natalie updating
    4. Housing presentation - Kharis & Marc will update
    5. Student presentations in 11:45am-12:15pm Monday block

  9. Winter Meeting (15)
    1. No word from APO yet
    2. New office hours - Kharis, Annaliese, Megan
      1. Provide availability for week after open house
      2. WHOI student center
      3. Book a room for ~1hr at MIT
    3. Room booked! - April 6th or 13th in Clark
    4. Send out office hours/padlet this week (after hearing back from APO)
    5. What will a productive WM look like?
