At WHOI: Lea, Suzi, Mallory, Julia, Ian, Ben, Rachel, Mallory
At MIT: Eeshan, Genevieve
- Social Hour: still aiming for Thurs, Sept 19
- Yes, will happen Thurs Sept 19, 4:30 pm before bus
- Replacement Reps:
- Chem: Kalina Grabb
- Interested in running Open House, buffins would be difficult due to extensive field work
- Bio: Lauren Dykman
- AOSE: Rui Chen?
- Currently no other students interested in AOSE
- G+G: Emmanuel Codillo agreed to do (so he might be the G+G, but Ben will email and ask for G+G AND for At Large reps, with deadline of end of this week).
- PO: Henri Drake
- Besides Henri, there are 3 PO students available for At-Large
- At-Large: Marissa Kellogg (has agreed), TBD, TBD
- Rachel Khan? (may ask but she is pre-generals)
- Adrian has been approached, has not confirmed interest, Mallory will ask
- Navy students have also been notified via email, but none have expressed interest – Eesh will reach out in person to AOSE Navy students, Suzi will reach out in person to PO Navy students
- All current Reps: approach individuals (preferably post-generals) in your departments in person to recruit for At-Large reps.
- Also let them know there is an at-large Steinbach Scholar (organized by the three at-large reps)
- Let other Reps know as soon as you’ve recruited someone
- Keep in mind previous years’ reps (earlier than 2018-2019) interested in being new at-large Rep, would be helpful, but should have fewer responsibilities than before.
- So as of 9/10, have all department rep positions covered, but still need to recruit 2 At-Large Reps
- Chem: Kalina Grabb
- Student Center Update
- What we cleaned/organized on 9/5/19
- What is left to do: kitchen small appliances & utensils (task for incoming Reps?)
- Inventory of recreation and kitchen equipment?
- Pitch this idea to the next Reps, also suggest to them that they reorganize kitchen equipment.
- Reminder for Ian: buy new large plastic storage bin and more dish soap for Student Center
- Steinbach Scholar Feedback (LEA)
- Is it too much to have 3 Steinbach Scholars in one summer?
- Yes: either bring in fewer, or spread out in spring and summer, not just in summer.
- Or: use OGE funds more to bring in other speakers, not as steinbach for whole week but 1-2 days, individual seminars/events.
- At-Large Scholars could be full week with potential for international scholars, and could change department Scholars to being more local, 1-2 day visits
- Could allow Steinbach Scholar to be April through September, exact time depends on when Scholar available. – Give Steinbach Scholar a 2 month window
- Lea will approach Meg about this potential change, make sure Departments get on board so Stenbach Scholars can be speaking at Department seminars – to avoid conflicts and promote attendance, and also need to have more support of department heads in promoting Steinbach seminars
- Main concern outside of summer is scheduling around students’ class schedules, but main concern of all Scholars being in summer is field work/vacation limiting attendance – so spacing out may be best.
- This year: PO, At-large, and BIO are having Steinbach Scholars
- Is it too much to have 3 Steinbach Scholars in one summer?
- Changes to online portal funding application instructions (Eesh will update)
- If you are a Rep and you organized/proposed the event being discussed, you must be excluded from voting on the funding
- Funding will only be provided before the event and before supplies/materials/etc. Are purchased from event.
- Take pictures
- We need to start next letter request for funding, we can also send it ourselves just after new Reps come in.
- Suzi will put together list of what’s been funded.
- Ian will fill in for new letter template and write draft to send out, then send out to Reps for edits. Ian will also send call out for photos of events!!!
- This is due October but the sooner the better
