09/05/2025 General Meeting Minutes

Attendance: Paige, Miah, Keqi, Adam Cohen, Natalie, Hiroki, Serena Negroni, Jenn, Rilee, Bailey, Tricia, Lilli

Serena: At the beginning of the summer I had a chance to acquire a 10 ft dinghy. It is a sailing boat and Adam and I began doing some restoration work. It would be a great opportunity to have a sailing boat at WHOI. The interest in sailing in Woods Hole is high. I will share the results of the survey of the students. Overall we have 96% interest in sailing and a sailing program. Now is the end of the sailing season. We have the winter to plan for next sailing season (end ofMay/beginning of June). Most people in the program are sailors or want to learn. ⅔ of respondents do not have a sailing card(?). We have ~10 people who have sailing certification and can teach sailing. This relies on the Woods Hole boat shop – we have 76% of respondents are interested in building and restoring wooden boats. The community seems excited about the project.

Adam: We can use the same liability as the kayaks. We will have a similar code of conduct. Another thing we had is a liability release form that MIT has that is pretty generic/ vague that we can modify for sailing and kayaks etc. It is mostly set up to jump straight in and not have too many issues to have more insurance or anything like that.

Serena: We will use the same rules as kayak and canoes, but people will need to have training and people who already have a sailing card can take out the dinghy. We will tell folks that they cannot be transported.  We will have it behind Redfield with instructions on how to take it out. You can take it in Eel Pond and Falmouth harbor, no crossing ferry lines, always have 2 people on board, log, etc. For winter storage we reach out to Sam for space inside Winding Lane and Oyster Pond. These facilities do not seem to have a spot. This winter we have storage. I need to find a permanent spot for winter storage. Looking for ideas. 

Tricia: Do you have dimensions of the boat?

Adam: 5ft x 10 ft. (sail and mast goes inside)

Tricia: Keqi do you have any ideas?

Keqi: I can ask around Facilities. Anything I can find I will let Serena and Adam know.

Serena: It is easy maintenance. We will be set for two years. It will need to be repainted in spots. We will provide contact for people at the boat shop. In the off season (March/April), ask people at the boat shop to take a look at it. It cost $150 dollars to buy the paint. You probably can spend less as you will have left over paint. The supplies we currently bought will also last a while. All of the West Marine prices are half and no tax.The paint is from New Bedford (best around) and $15 of taxes. There are also a few items from Amazon. 

Rilee: Based on updated info do we want to vote on it today. Can the reps vote on it now?

Jenn: How much money do we have?

Paige: We have $ 8000 in the account and ~$1500 for this year. 

Rilee: If it is $2000 per semester then we would need to take this money from the reserves.

Lilii: Do we know the status of the money from OGE for next year? Will there be any changes?

*Tricia shakes head “no”*

Tricia: It was $2000 for the year.

Paige: So we have $10,000 of the $13,000 reserve. I have 10K fron OGE, 2K from APO and 2K from “Social fund” what is that?

Tricia: Someone won a grad student life grant.

Paige: We have $500 left for the year.

Serena: We can have split funding part this year, part next year? If you need more time to discuss.

Rilee: Is funding replenished in October?

Tricia: Yes, we will send a memo of the funds and request funding again from OGE.

Rilee: We could fund half now and then submit half later in the fall/spring.

Lilli: Its also okay to dip a little into the $8000.

Rilee: Any other thoughts. We can vote on the total amount and dip into the savings.

Paige: You can also set up a tax-free account.

Tricia: I can also charge things to the reps account.

Serena: We will have a boat naming ceremony. (otherwise bad luck). It will be a gathering in Woods Hole. This winter we will figure out forms and rules and make it available for next sailing season! Should I send a request for reimbursement in Unnanet?

Paige: Through Atlas but yes!

Lilli: I feel like this might be me?

Rilee: We need to transition ownership.

    • We will prob have to reach out looking for at-larges as an fyi
    • If we get people in time, we’ll call the working meeting the transitional meeting 

Rilee: There is a possibility we need to find at-larges. Next working meeting on 9/19 may be the transition meeting but otherwise we need to find a new meeting time. I can send out a when2meet.
