  1. Thanks for attending the ASA GBM Jenn! Anything to note?

Jenn: No, there are changes to how funding is being structured. Not changing the funding. We have to register come fall. Many things that relate to them do not apply to us.

  1. Website updates – Hiroki

Hiroki: I forgot to mention, I did reply to Keqi. I updated the website with the most recent minutes.

Rilee: SO you figured out how to update it?

Hiroki: Yes, I updated it two weeks ago.

  1. Mini finance update – Paige
    1. Need 1-2 slides for annual meeting about finances, what we’ve funded, call for more requests?? Previous slides

Paige: We have some events that are under budget. Did unfair trivia happen? Big expense coming up are kelp potluck, naming ceremony etc. We should set aside 1600 for those events. We have about 1200 to spend outside of those events unless we want to move into the slush fund.

Tricia: We have some reserve.

Paige: Does the sentiment of spending the slush fund still stand?

Tricia: I don’t think this is the year. If the reserve fund gets really low, then that might be a problem. We get 12000 total. You have not dipped into the fund at all. There is not a case at the moment. 

Paige: We have 1300 aside from big summer events. 

  1. Cora’s funding request (Advocacy T-shirt making workshop $250)

Paige: Can we have one t-shirt making endeavor?

Rilee: Catherine are trying to do official merch

Lilli: Cora = advocacy, Catherine + Elena = merch for the JP

Jenn: They wanted a subsidy for hats. Materials for screen printing are reusable and can be used for both activities.

Lilli: She did not budget for screen printing materials (more like block printing). They should have a conversation about what should be shared.

Miah: I think we should have them talk to have a total budget for both events.

Lilli: subsidize order merch?

Rilee: does not seem like we can afford this. People can pay full price. Whatever can come from joint t-shirt making can be subsidized.

Tricia: They could talk to me about it. Normally I order them and you guys don’t pay for it. We are likely to fund it. I sent 100 winter hats to WHOI. Did you get the hats (directed to Keqi)?

Keqi: I did not get it.

Tricia: Yeah dont want you to dip into funds if you dont have to. Also for grad appreciation week we have some JP merch in goody bags! Trying to get to WH too.

  1. Annual meeting update
    1. Decide on food for WHOI
    2. APO – ask for 1 slide on updates from last year (what they’ve worked on), organise pre-meeting meeting a week before, organise debrief after. Who to include? (Ann, Diane, Mick…)
    3. GSU – getting back to us about whether a meeting is necessary
    4. Remind students of padlet/office hours, send out RSVP monday
    5. First office hour 3-4 in student center, 10th April
    6. Rilee/Lilli/Jenn/Paige organise meeting post-office hours/padlet collection to discuss how to divvy up responsibilities in the 2 weeks leading up

Rilee: Our first office hour is next Thursday. How’s food?

Lilli: Estia is a good option (needs 48 hr notice). I have not found a number for food. Lots of departments are looking to cut spending. Estia is a good option as long as it is within APO budget.

Keqi: I will follow up with a budget from Christine.

Rilee: I talked to MIah about the GSU. We are waiting to hear back from them. I also emailed Ann about how to interact with APO leading up to the annual meeting. At some point I will ask for slides and updates. Also I will organize a pre-meeting. Ann, Diane, Mick, + other reps helping with Annual meeting (compiling questions etc.). Lilli, Jenn, and Paige we should meet to organize.

  1. Education assembly 5/7 (Jenny’s email on Tues) – do we have to do anything for this?

Rilee: Did you get the email about the education assembly?

Lilli: We meet monthly. It might be worth asking about the international student situation. Not that APO has much power to do anything, but looking for how we can support international students. 

  1. Request to add OP garden folder to reps drive by Elena

Rilee: I just wanted to make a separate drive within our JP reps google drive?

Other: yes!

Rilee: Okay I will give them access.

  1. Nadege passing on Professional Jelly Talks – something we could take on?
    1. Thinking ahead, who will lead Jelly Talks in the summer

Miah: I think I am running this. Happy to start this in June.

Rilee: Great, I can also help if need be. 

  1. Can someone lead the working meeting for me (4/18)?
