Minutes April General 4/3 @ 12pm

Present: Kharis, Annaliese, Marc, Cora, Natalie, Tricia, Sarah, Anthony

  1. (30min) Winter Meeting
    1. Food
      1. Alcohol?
        1. Ann approved alcohol, students bring it and can venmo 
      2. Budget
        1. $800 – 900 from Estia
        2. Salad for 50 people, wraps for 40 people, 2 starters plus a side
      3. WHOI
        1. Estia in Mashpee – Kharis will place order ASAP, Cora will pick up
      4. Grocery store
        1. Kharis will buy beer/wine and extra snacks
      5. MIT (54-823 from 4-7:30/8pm) room code is 2018#
        1. Only ~5 rsvps
        2. Should still have small gathering with food so everyone can be engaged in the conversation
        3. Anthony/Natalie order food for 10 people (not catering)
          1. Budget? $100-150
          2. Give our cell phones for delivery, 5pm
          3. Decide if we want alcohol or not
      6. Virtual
        1. Grubhub vouchers ($25)? – Tricia will see if it’s possible to set up
        2. Only a handful of people
      7. Passover
        1. Only a few rsvps
        2. No leavened bread, grains, sometimes rice
        3. Veggies & potatoes fine, not pita, hummus iffy
        4. Cora can bring a kosher dish to supplement ($20 reimbursement)
        5. Kharis will buy carrots for dipping in the sauces
    2. Setup
      1. People arriving at 5, food ready at 5 (setup food at 4:45)
      2. Meeting starting at 5:30
      3. Kharis will bring cooler for beer
      4. Reps arrive by 4:45 for setup (Natalie mention in summary email)
    3. Responsibilities
      1. Kharis will lead meeting
      2. Megan will moderate in person at WHOI
      3. Annaliese will moderate over zoom
        1. At beginning, say that if you want to say something anonymously they can private message/text Annaliese
      4. Natalie/Anthony will moderate on MIT side (via zoom chat, muting/unmuting)

  2. (5min) Affiliate membership
    1. Very ambiguous on who can join the whoi student community
    2. Need to define clearer guidelines, maybe prioritize students
    3. Can discuss more at next working meeting
    4. Clarify that form is to get on the email list
    5. Events with very limited space may prioritize students over affiliates
  3. (5min) Steinbach updates
    1. Email drafts are ready, will send out the invitations this week
    2. Once we get responses, will move forward with planning next steps
  4. (5min) MIT meeting obligations…
    1. Someone is required to attend each ASA general body meeting or we might get a fine – Marc can go tonight (April 3rd, 5pm)
    2. Why is our relationship with ASA more formal now?
