  • Quick Winter Retreat update

Rilee: We are heading up this afternoon. Final head count is 29, thanks to the Mudskippers. Good turn out. That’s all for that. Hopefully it goes well.

  • Open House updates

Lilli: Missed meeting, pass to Tricia.

Tricia: We are close to the open house. Everything is going well. We got little whiteboard magnets and pens which are cute. We got the notebooks in. There is stuff to do for buddy matching. But everything is going well, not worried atm.

Paige: Do we have a list of incoming students?

Tricia: We admitted folks at the end of last week. I will check today (Friday). I will also be sending a couple RSVPs for students (lunches/dinners).

Rilee: Came from Tricia Gebbie checking on the  librarian. Miah you are the czar person?

Miah: Yep, can definitely do that.

  • Annual Meeting
    • APO date pick – does this work for all
      • Rilee: I sent an email out to APO and sent an email to Ann and Rob. Trying to avoid spring break and religious holidays. We will go ahead with the 8th of April (waiting on Sam Silva and Christine Charette). 
    • Tricia – book Clark 5 + Building 54 room, delay bus
      • Tricia: Keqi will book room at WHOI. Order food and submit reimbursement. Time 57 with the first part being dinner? Anticipate dinner going slightly longer than you think.
    • Need a rep at MIT to run zoom
    • Rilee has made a padlet, run open hours 1-1.5 weeks before meeting
    • Other things to cover in the next few weeks?
  • DEI funding brief
    • What is MIT’s stance on student assoc. funding of DEI-related events
    • What to say to the students (Jenn’s draft brief)

Rilee: What is MIT’s stance since our funding come from there.

Tricia: Has not said anything about not going forward with DEI things. They filed about USAID. Carry on as usually (unless otherwise directed).

Jenn: Because we are in between, funding comes from MIT but what about the WHOI side.

Tricia: You are full students in both locations.

Jenn: If we get audited, would there be any issues?

Tricia: They should be separate accounts (MIT/WHOI)

Jenn: Natalie gave us a debrief and that things might need to change (wording). 

Tricia: Funding, you don’t need to worry about. But to stay undercover / be comfortable, you can advertise differently. They are separate funds though. It would have no impact on funding. You can split the difference in advertising, but MIT has said nothing. If it feels more comfortable to follow the guidance from Natalie, but in terms of the MIT side of things, DEI events/organizations are still occurring. 

Jenn: We just want to keep things like the LGBTQ+ library open and call Queer Prom the same thing.

Tricia: As long as the funding comes from MIT then we have no need to change the names.

Jenn: Can wording on Reps debrief – “we will keep doing what we have been. We have the backing of MIT”

Rilee: Since the money comes from MIT, we will keep doing what we are doing until we are told not to.

Jenn: I will send another draft out. 

Rilee: Anything else to talk about?

Jenn: Keqi and I talked about a mentoring program. It will be a rep responsibility to make sure the program isn’t dropped. That will hopefully be up again soon.

Keqi: I spoke at the JP meeting (to Christine) and to start with the incoming students (due to funding). We may expand to second and first years. Excited to have important program restarted again.
