JP Coffee Fund
Minutes:
Debrief of Open House – Survey still out for the Virtual open house (survey was adjusted for virtual). So far students appreciative of the student interactions
- Idea – preserve the open house swag bags
- Pencils – Logan no longer understands sarcasm (she must be sick)
- Feedback – students love the swag and notes
- May be helpful to generate a document on things that went will for next year
- DEI session feedback
- random session groups was something that could be improved, though the timeline of the session was challenging
- Future – maybe have students pick room and be able to read bios ahead of time
- Compile feedback
- Could be helpful to send a survey/email to student leaders in the DEI session to get info
- Lea could share the survey feedback
Virtual photoboard – Update from Stewart and Kevin
- System for submitting photos and updating from a google sheet
- WOW – so cool!
- Should be okay for future Reps if they know Java script for maintaining the photoboard
- What if people don’t submit them – people should give permission for their photo, so just do stick figures or a stand-in photo if they aren’t submitted
- Would need list of JP students
Winter Meeting (Thursday Mar. 25, 5pm)
- Feedback/topics?
- So far, not many responses, but many potential agenda items
- Put up a draft agenda – then send that out with a call for more items
- Then send that to APO
- Chem dept meeting – stats/numbers worked will
- Statistics/numbers → 4th / 5th years and stress to finish.
- How are students feeling impacted by covid – Logan and Noah will start brainstorming this and create a survey by early next week. Incorporate into the agenda.

- Noah created document in JP Winter Meeting Folder. Refer there for general agenda.
- Timeline – 1 hour 30 min MAX
- Figure out how to get people food. Grub hub is min $20 per person and it would be a disaster.
- Reimburse people individually for sandwiches – that’s a lot of people?
- Cup of coffee/snack from starbs before the meeting?
- Should we have a Navy Rep? Could help with the community of the Navy students with the PhD students. Start soliciting for a Navy JP rep. Rachel could reach out to Brendan to ask about Rep and/or Open House.
