General Meeting Minutes for October 17th, 2025

Attendees: Tricia Nesti, Zephyr Girard, Mark Goldwater, Caroline Needell, Katelyn McPaul

Absent: Lilli Enders, Mekia Bushell, Keqi Ren

  1. Budgeting:
  • Checking in with Tricia since it’s our first meeting
    • Tricia + Paige – working on annual memo to MIT OGE, looking forward to more events this year and thanking for funding last year
    • Our budget is typically set so we have ~1k/mo for events for the year
    • Covid unused funding sitting in account – 7k left over from original extra 10k; this is the “slush fund”
      • This will hold us over until we get the OGE funding, if needed
  • Buffins budget
    • Buffins: ⅓ of budget, $62 per order, 2x a week – 14 wks/semester. It is the reason we’ve had to dig into slush fund for the past couple of years. 
    • Mark: When does this reaching out and cost happen?
    • Tricia: Outgoing reps reach out in august to do the order for the year – Jenn did it last year
    • Zephyr: Do we pay every week?
    • Tricia: cape cod bagel sends me a bill all the invoices at the end of the year, creates purchase order and pays invoices at once
    • Katelyn: Do we already get day olds? This could cut down on costs
    • Tricia: Let’s look at actual consumption and change order accordingly? Are there differences between consumption on Tu vs. Thu? We could get muffins from the grocery store? 
    • M: Starting budget tomorrow and can take point on potentially changing the buffins order
  • Czar updates
    • Katelyn: reaching out to Miah to find best way to find czars. 
    • Katelyn is the safety czar
    • Mekia made a spreadsheet about czars, we only need to replace 2-3 of them.
    • Tricia : note about a potential czar – Ann and Tricia going through transportation survey results, figuring out feasible options.
      • Potentially a transportation czar? Not many details now since just analyzing the data. 
      • Czar would primarily assist w carpooling logistics. This will probably come up a bit later in the year, not now. 
      • Conclusion: We will announce and solicit self-noms for a transportation czar later, when there are more details about changes to the intercampus transportation

Mailing Lists

  • Caroline: just want to check as webmaster that we can add/remove from JP mailing lists
  • Tricia adding Caroline and Mekia to jp reps maintainer mailing list
    • We can now add/remove from Jp-students-all, as well as department specific lists. 
    • Tricia generally adds to list over summer, so we shouldn’t need to

Search for students to participate in Academic Affairs & Admissions Coordinator interviews

  • Request from Ann, Caroline will email all students on Monday about volunteers

Open House

  • Tricia: open house in march – typically there’s a student event the Sunday evening before
  • Day of, reps and matched buddies meet for the meals (keep initial social events contained), w/ dinner open to everyone
  • Campus tour day of
  • Session where reps talk about who they are/what we do
    • Housing, COL, etc.
  • Buddy matching – not always the reps but often a rep that is part of the OH committee
    • This person works with Tricia, Keqi
    • Zephyr is willing to help w OH
    • Rep on committee should reach out to Lilli since she has done it in previous years
  • OH is going to be 9th and 10th of March
  • OH committee should be put together before we leave for December holiday
    • Then first initial meeting in january to check in
